My objective was clear—enhance the effectiveness of our communications without sacrificing authenticity. With a background in International Business and hands-on global consulting experience, I had a foundation in navigating cultural nuances. However, applying these skills to AI-generated content at HubSpot was a novel challenge.

The Intricacies of Localizing AI for Global Emails

Integrating AI into global email communications involved more than mere translation. Our challenge was to enable an AI model, primarily trained in English, to express messages as naturally as a native speaker in other languages. Initial attempts didn’t capture the essence we aimed for. For instance, a translation that seemed correct in Spanish appeared invasive and unnatural, sparking feedback such as "creepy."

Our goal was to create emails that didn’t feel robotic. Therefore, we transitioned from simple translation to constructing language-aware prompts that considered cultural context, grammar, and tone. This shift was crucial for effective communication.

Designing Language-Aware AI Prompts

Transitioning from direct translation, I developed a flexible framework, enhancing our AI’s ability to mimic a multilingual marketer. This involved creating dynamic prompts with variables such as target language, tone, and phrasing style. For example, in Spanish, we consistently used "tú" instead of "usted" for a warmer brand tone.

Adapting our prompts required understanding the cultural nuances and respecting each language’s peculiarities. This method ensured the generated content was not only accurate but also resonated well with the audience, avoiding overly casual or inappropriate tones in professional emails.

The Transformation and Impact

With the new framework, our email outputs noticeably improved. Feedback from stakeholders was overwhelmingly positive—emails now read as if written by someone from within the team, with no awkward formalities or gender-specific errors. Our system allowed us to generate emails in multiple languages efficiently, maintaining high quality across all communications.
